Project policies

Privacy Policy

1. Information we collect

When you submit a story, we may collect:

  • your name and email address;
  • your connection to Princeton and confirmation that you are at least 13;
  • your story, its language, cultural context, dates, and optional biography;
  • photographs, artwork, captions, filenames, and basic file information;
  • your publication choices and acceptance of project policies; and
  • limited technical information routinely processed by our hosting provider for security and reliable operation.

2. How we use information

We use submitted information to receive, organize, review, and preserve contributions; contact you about questions, edits, permissions, or publication; publish approved material in the digital archive and, if authorized, at Cultural Pathway Stations; protect the project from misuse; and respond to privacy requests.

We do not sell contributor information or use it for targeted advertising.

3. What becomes public

Your email address, internal review status, and private form records are not published. A story, name or chosen attribution, biography, captions, photographs, and artwork become public only after review, only with the selected permission, and only after we contact you before publication.

4. Storage and service providers

Form responses are stored in a private database. Uploaded images are stored in a private server directory. Hosting, database, security, and storage providers process information only as needed to operate the site and are expected to protect it using appropriate safeguards. Information may be processed in the United States.

5. Retention

We keep information only as long as reasonably necessary to review the submission, operate the archive, honor permissions, maintain project records, and meet legal or security obligations. You may ask us to delete a pending or published submission. Some residual copies may remain temporarily in secure backups, and removal from printed or previously distributed materials may not always be immediate.

6. Children’s privacy

The online submission form is for people age 13 and older. We do not knowingly collect personal information through the form directly from a child under 13. A parent or legal guardian should submit on a child’s behalf. If you believe a child under 13 submitted personal information, contact us so we can review and delete it.

7. Your choices and requests

You may request access to, correction of, deletion of, or a change in publication permission for your submission. Send the request from the email address used to submit, if possible, so we can verify it. We may need limited additional information to confirm your identity.

8. Security

We use reasonable administrative and technical safeguards designed to protect submitted information. No online service can guarantee perfect security, so please do not submit Social Security numbers, financial information, passwords, medical records, or other highly sensitive information.

9. Changes to this policy

We may update this policy as the archive or its technology changes. We will post the revised policy and update its effective date.
